Privacy Policy
This Privacy Policy explains how McLaren Visuals LLC, a Kentucky limited liability company (“McLaren Visuals,” “we,” “us”) collects, uses, and shares information when you visit our website, apply for our services, or engage us to manage social-media channels.
1. Information we collect
Information you give us
- Application & contact details — name, email, phone, business name, social handles, and anything you submit through our forms. That includes the free audit questionnaire (what you do, where you work, what you have tried), the Studio Audit intake, the Reel Report Card answers about your own account, and any application to work with us.
- Client engagement data — the brand assets, footage, captions, briefs, and approvals you share so we can produce and schedule content on your behalf.
- Client audience data — if you are a client using our CRM, landing pages, or email-marketing tool, the contact information of your audience that you import or that your pages capture (typically name, email address, phone, and any tags or notes you add), together with your consent attestations and each contact’s delivery and unsubscribe/suppression history. We hold this data to provide the service to you — see Client audiences & email marketing below.
- Communications — messages you send us by email or form.
- What you tell us inside your dashboard — the answers in your story questionnaire, the topics and notes you save, the questions you ask your in-dashboard coach, and the help messages you send us. We keep these with your account and use them to write content that sounds like you and to answer you in context. They are yours: ask us and we will show you what is stored or delete it.
Information collected automatically
- Standard server logs (such as IP address, browser type, and pages requested) used only to operate, secure, and improve the site. We do not use third-party advertising networks or cross-site tracking.
- We do not sell your personal information.
2. How we use information
- To respond to applications and deliver the services you engage us for.
- To produce, schedule, and report on content for your channels.
- To store and send email campaigns to a client’s own audience, at that client’s direction, and to honor unsubscribes and suppression.
- To operate, secure, and improve our website and tooling.
- To comply with legal obligations and enforce our agreements.
3. Social platforms & third parties
To run your channels we use third-party services such as the platforms themselves (e.g. Instagram, YouTube, TikTok) and scheduling/automation tooling. When you authorize us to act on your channels, your use of those platforms remains subject to their terms and privacy policies. We share information with vendors only as needed to provide the service. Current sub-processors include our website and server host (Hetzner), our social-media scheduling and automation tooling (Postiz), AI tools we use to help draft and produce content (Anthropic and ElevenLabs), our stock-media provider (Pexels), our payment processor (Stripe — we never see or store full card numbers), our email delivery provider (Resend), and the social platforms you authorize us to operate (such as Instagram, YouTube, and TikTok).
YouTube API Services
Our competitor-research tool uses YouTube API Services. If you name a competitor's YouTube channel, we ask YouTube's official API for that channel's public information — video titles, view counts, and publish dates — and we store that public information with your account for about a week so the page loads quickly. We do not access your YouTube account through this tool, and we do not send YouTube anything about your customers. By using it you are also agreeing to the YouTube Terms of Service, and Google's handling of data is described in the Google Privacy Policy. You can remove a channel from the tool at any time, which deletes what we stored for it, and you can revoke Google's access to third-party tools at the Google security settings page.
4. Client audiences & email marketing
Where an engagement expressly includes it, clients can use our platform to keep customer records and send marketing email to their own audiences. For that data, our client decides what to collect and whom to message; we store and process it on the client’s behalf to provide the service. In plain terms:
- We don’t use client lists for ourselves. We do not message a client’s contacts for our own marketing, do not combine one client’s list with another’s for marketing, and do not sell or rent any of it. The single exception runs in your favour and is described in the next bullet: opt-outs are shared across the platform so they cannot be undone by moving your address to a different list.
- Unsubscribes stick — everywhere. Every marketing email sent through the platform includes an unsubscribe link. When a recipient opts out, the address goes onto a suppression list that is honored automatically on every future send by every client on our platform, not only the list that was unsubscribed from, and it cannot be overridden by any client. We record this as an irreversible-by-clients entry holding a one-way cryptographic hash of the address (not the address itself), the time, and which client’s list the opt-out came from — the minimum needed to keep the opt-out working and to answer a later question about it. Only we can lift a suppression, and doing so leaves its own permanent record.
- Compliance footer. Marketing emails carry the sender’s identification and a physical postal address, as U.S. law (CAN-SPAM) requires.
- If you’re on a client’s list and want your data corrected or deleted, use the unsubscribe link or email xavier@mclarenvisuals.studio — we will action it in our systems and forward the request to the client responsible for the list. We keep a minimal record of suppressed addresses so an opt-out stays honored.
5. AI & automation disclosure
We use AI-assisted tooling to help draft, edit, and schedule content and to prepare recommendations. A human reviews and approves work before anything is published. We are transparent about this and never present AI-generated results as something they are not.
6. Data retention
We keep information for as long as needed to provide the service and for legitimate business or legal purposes, then delete or anonymize it. Our stated retention windows for uploaded footage and finished reels are finished reels for about 30 days and raw source footage for about 7 days — except footage you save to your reusable b-roll library (and longer clips you are likely to reuse), which we keep so you can reuse it across future videos (see our Terms). To be straight with you: the automatic deletion sweep is not switched on yet. Until it is, assume your footage and reels stay on our servers, and download anything you want your own copy of. We will not switch it on without warning you first. If you cancel, we do not delete your finished reels and email you a link to download them. When a client leaves, we delete their audience data on request, except the minimal suppression records needed to keep honoring unsubscribes. You may request deletion of your personal information at any time (see §11).
7. Business prospect research
To find local businesses that might benefit from our services and to prepare outreach, we maintain a research index of businesses built from public sources. It holds business contact details such as business name, category, city, a publicly listed phone or email, website, and public social handles. This is contact information about organizations, not consumer profiles, and we do not sell it. If you represent a business in our index and want its information corrected or removed, email xavier@mclarenvisuals.studio — we will remove it and add you to a do-not-contact list. Any outreach email we send identifies us, includes our postal address, and offers a one-tap opt-out.
8. Voice & biometric data
If you choose to give us a voice recording so we can create an AI voice for your content, that recording and the voice model made from it may be treated as biometric information under some state laws. We collect it only with your explicit consent, recorded when you upload it; we use it solely to produce your content; we never sell it and never use it to identify anyone. We keep it only while you are a client or until you withdraw consent, whichever comes first. You can withdraw consent and ask us to delete your voice sample and voice model at any time by emailing xavier@mclarenvisuals.studio; we will delete them from our systems and instruct our voice sub-processor (ElevenLabs) to do the same.
9. Security
We use reasonable administrative and technical safeguards to protect information. No method of transmission or storage is 100% secure, and we cannot assure absolute security.
10. Cookies & analytics
This marketing site sets no cookies of its own and runs no third-party analytics, advertising pixels, or cross-site tracking. (Fonts are served by Google Fonts, whose servers receive standard request data such as your IP address when the font files load.) Our client app at app.mclarenvisuals.studio uses first-party session cookies so you can stay logged in, and first-party measurement of how visitors move through our own signup pages (a random session identifier and any campaign tags in the link you clicked). On the hosted landing pages we run for our clients, we also keep a simple aggregate count of visits (daily and running totals only — no cookie, identifier, or IP address is tied to it) so a client can see whether their page is drawing traffic. None of this is shared with ad networks. You can control cookies through your browser settings.
11. Your rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To exercise any right, email xavier@mclarenvisuals.studio. We will respond within the timeframe required by applicable law.
12. Children
Our services are for businesses and are not directed to children under 16. We do not knowingly collect their personal information.
13. Changes
We may update this policy. We will post the new effective date here and, for material changes, notify engaged clients directly.
